Annual Reports
The (NHMRC) National Statement on Ethical Conduct in Research Involving Humans requires Human Research Ethics Committees to monitor all research projects which have ethics approval. This is to ensure that work is being undertaken in accordance with the approved protocol and that the rights and interests of those who have consented to take part as participants are protected. As part of the monitoring process University researchers are to provide an annual report on projects for which they have ethics approval.
Human ethics annual reports are required for all research projects that are continuing in the current year, as well as those that were completed in the previous year.
Annual reports are to be submitted on-line via THEMIS Research Self Service http://www.themis.unimelb.edu.au during January/February each year. All researchers with continuing projects or completed projects from the previous year will be sent notification via email, through the THEMIS system, that annual reports are to be completed and submitted by a given date. Failure to comply will result in your project’s approval lapsing.

Who can access the annual report in THEMIS?
All researchers listed on the approved ethics application.
I have never logged into THEMIS before. How do I get access?
Whether you are a staff member, or a student, you need to go to http://accounts.unimelb.edu.au/
I need to send the annual report to several people for their input. How can I do this?
There are two ways that you can do this:
- All researchers listed on the approved ethics application can access the annual report in THEMIS. You could enter some of the information, save then ask other researchers to log in and enter details, or edit what has been entered.
- Once you have gained access to your annual report in THEMIS, there is an option under Project Details (towards the top left hand side of the screen) called Full Report. Clicking on this will give you a PDF of the annual report.
Can I access annual reports submitted over previous years via THEMIS?
No. If none of the researchers on the project have kept a hard copy, please contact the Melbourne Research Office.
Tips
Save your work at every step.
The Melbourne Research Office have advised that some people may experience an error message when they get to the final step. If this happens to you, please contact the Melbourne Dental School HEAG Administrator who can submit the report on your behalf.
If there have been changes made to your research, including those in the annual report, this may delay approval of the project for the coming year. It is recommended to enter your annual report first, then submit a Request for Amendment.
